How We Secured up to 80% Cost Coverage for German SMEs at WAM Saudi 2026

When WAM Saudi 2026 opened its doors in Riyadh this past February, Meena was there representing BVMW, one of the event’s official partners alongside organizations like UNIDO, Business Finland, and INSME. Our role wasn’t just to attend. It was to make sure the German SMEs in our network could afford to act on what they found there.

Meena at WAM Saudi 2026: how we secured up to 80% cost coverage for 17 German SMEs, with German and Saudi flags at the Riyadh exhibition

By the end of the mission, 17 German SMEs had secured funding covering up to 80% of their exhibition costs through Germany’s grants and funds program, turning what would otherwise have been a significant upfront expense into a substantially subsidized investment in their Saudi market entry.

Why this mattered at WAM Saudi specifically

WAM Saudi 2026 drew more than 20,000 trade professionals and 350+ exhibitors from over 45 countries, along with a dedicated Investor Program connecting venture capital, corporate funds, and institutional investors with exhibitors across industrial technology, logistics, and manufacturing. For a German Mittelstand company, that’s exactly the kind of event where real opportunities surface. It’s also the kind of event where the cost of taking part can make a company hesitate before committing.

That’s the gap German state and federal grants are built to close. German SMEs can receive non-repayable grants covering up to 80% of eligible exhibition costs, with the exact rate depending on the program and the federal state where the company is based. As a BAFA-accredited consultancy (Consultancy No. 225330), Meena is set up to guide German SMEs through these grant applications, which meant the 17 companies we worked with at WAM Saudi didn’t have to choose between acting on the opportunity in front of them and protecting their budget. The grant made both possible at once.

How the process actually worked

The value of this kind of funding isn’t just that it exists. It’s in knowing how to apply it at the right moment. For the SMEs we supported during WAM Saudi 2026, that meant:

  1. Identifying eligibility early. Not every company or every cost qualifies, and the funding rate depends on where a company is based, so confirming eligibility was one of the first steps, alongside the initial conversation about what each company wanted from its Saudi market entry.
  2. Structuring participation to fit the grant’s scope. Grant programs have specific rules about what they cover, so each company’s participation had to be framed correctly from the outset to qualify.
  3. Handling the application in parallel with the preparation itself, so the SMEs could move on their Saudi opportunity without waiting for grant approval to catch up first.
  4. Supporting each company on the ground at WAM Saudi, covering Saudi-specific regulatory, partnership, and sector considerations, at a fraction of the cost the SME would have carried without the grant.

Why this matters beyond WAM Saudi 2026

The lesson here isn’t specific to one trade fair. German SMEs routinely leave this kind of funding on the table, either because they don’t know it applies to Gulf market entry or because they assume the application process is too slow to be useful alongside a time-sensitive opportunity. Neither has to be true. The 17 companies we supported moved on their Saudi opportunity at the same pace as companies without funding. The grant ran alongside the work, not ahead of it.
